Minutes of Pre-bid meeting

The Reserve Bank of India (hereinafter referred to as “The Bank’’) intends to prepare a panel of reputed suppliers/vendors for undertaking supplies of a) Groceries b) Vegetables, Fruits, Non-Vegetarian items and Snacks (Daily Procurement items) c) Milk and Dairy Items to Officers’ Lounge and Dining Room (OLDR) of Reserve Bank of India, Gangtok Regional Office situated at Tseyang Djong Building, National Highway 10, Amdo Golai, Tadong, Gangtok, Sikkim-737102.

2. The estimated cost of supplies per annum for each category of products to be supplied is as under:

*The figures are indicative and may vary depending on the actual requirements

3. The validity of the empanelment of suppliers will be initially for a period of one year and the period is renewable for a further period of up to two years (one year at a time) at the sole discretion of the Bank.

4. For the above empanelment, the tenderers should submit their proposal, as per the important instructions regarding Tender, along with all supporting documents complete in all respects on or before March 11, 2025 (Tuesday) up to 12:00 Noon in the prescribed formats in a sealed cover, super scribing thereon “Empanelment of Suppliers for Supply of Provisions to Officers’ Lounge and Dining Room, RBI Gangtok”. Tenderers shall submit tender proposal along with refundable Earnest Money Deposit (EMD) as mentioned in this tender, complete in all respect as per the prescribed format. Duly completed applications along with the necessary enclosures, in a sealed envelope should be dropped in the tender box kept for the purpose by the Bank at Ground Floor, outside Human Resource Management Department (HRMD), Reserve Bank of India, Amdo Golai, Tadong, Gangtok – 737102, on or before 12:00 Noon on March 11, 2025 (Tuesday). The received bids will be opened on March 11, 2025 (Tuesday) at 15:00 Hours. In the event of any date indicated above being declared as a Holiday, the next working day shall become operative for the respective purpose mentioned herein.

5. Tender document can be downloaded from website www.rbi.org.in. Any amendment(s) / corrigendum / clarifications with respect to this tender shall be uploaded on the Bank’s website https://www.rbi.org.in only. The tenderer should regularly check the above website for any Amendment / Corrigendum / Clarification and submit the bid after verification of the same.

6. Bank will empanel the vendors who completely satisfy in the requirements stated in Eligibility Criteria prescribed in this tender document.

7. Bank will purchase products in various categories from the empaneled vendors on rotation basis, based on reasonability of the prices and satisfactory performance of the vendors.

8. The Bank is not bound to accept the lowest tender and reserves the right to accept either in full or in part any tender.

9. The Bank reserves the right to reject any or all the applications without assigning any reason thereof.
